How to Create a Slack User Group
Although user groups are optional, they serve a number of valuable purposes in Slack. First, workspace owners and admins can use it to add members to different public and private Slack channels en masse. Technicians usually need to see different information than accountants need. In higher education, non-accredited professors usually do not need to display letters intended for fellow tenure-holders. Second, Slack user groups make it easy to alert a subset of members within a single channel or DM group.
Slack maintains user groups for premium plans, and they are located within the workspace. You cannot share it across different groups. To create an account, follow these steps:
1. Click View People in the upper half of the sidebar.
2. Click on New User Group at the top of the screen.
Slack displays a prompt window.
3. Enter a name for the user group.
The handle cannot match the handle of another user group. The spaces here are good.
4. Enter an indicator for the user group.
The handle cannot match the handle of the current workspace member, channel, or other user group. You need to use all lowercase letters without spaces.
5. (Optional) Enter an intent for the user group.
6. (Optional) Enter the new channels that Slack will add members of this user group to.
Type a few letters of the channel name and Slack will fill it in automatically.
7. Click the green “Next” button.
8. Search by name and add workspace members to your user group.
Type a few letters of the person’s name and Slack will fill it in automatically.
9. Click on the green Create group button.
Note that adding channels to user groups is cumulative. As a simple example, in doll maker Sanitarium, all employees join five public channels by default. CIO Lars creates a new user group IT with three virtual channels:
1. Two new public IT related channels
2. One private slack channel
Once Lars has completed step 9, all IT members belong to eight channels.
Currently, Slack does not allow you to send a direct message to a user group. To circumvent this limitation, you can do one of the following:
1. Create a DM group with each member of the user group.
2. Create a private Slack channel and invite the user group to it, which will add all members at once.
Regardless of your role, Slack does not allow you to add guests to user groups.
Mentioning a user group in a Slack channel still allows all members of that channel to view that message. If you need to limit a message to members of a user group, send a group direct message or create a separate private channel for these people.
