ABOUT THE COMPANY
With USAID support, the PROGRESS Consortium is currently implementing the ARISA Program, a 5-year project to improve recognition, awareness, and enforcement of human rights in the region, including the protection of the region’s most vulnerable and disadvantaged groups. marginalized groups. The Progress Consortium, Freedom House and its partners are led by the American Bar Association (ABA), Internews and PACT. The program operates in eight (8) countries and focuses on the following thematic issues that have been identified as critical to the promotion of human rights in the region:

- Protecting human rights defenders
Role overview:
Reporting to the Head of Party (COP), the individual will be responsible for coordinating all logistics related to program activities, including liaison with suppliers, travel agents, service providers and partners. They will provide administrative and executive support to the party leader and manage the administrative needs of the ARISA Advisory Board. They will also provide administrative support to selected consultants when required.

Job Description
Logistics
- Oversee and coordinate logistics within the program including travel arrangements, liaison with travel agents, transportation and accommodation suppliers, and management of M&IE payments during travel for team, regional and international staff, partners and participants in ARISA events.
- Review, improve and implement appropriate logistical policies, procedures and processes.
- Documentation of events/exercises, including archiving and storing of event photos, reports, lists of invitations, agendas, etc. electronically and where applicable, in hard copy form.
- Distribute internal plans and event calendars to the ARISA team such as audit meeting dates, tracking program activities, etc.
Administrative support
- Manage diaries for COP as required, along with schedules for calls and meetings, as necessary.
- Set up internal/external meetings with team members and other internal and external partners as required.
- Act as a point of contact for the COP when required.
- Managing the flow of information in a timely and accurate manner.
- Respond in a timely manner to ad hoc management requests from the COP and Board, including drafting letters, making calls, printing/scanning/binding documents as required and conducting research as instructed.
- Assistance in managing the personal office of the COP and the Board – expense claims, information, document delivery, etc.
- Ensure that the COP is constantly updated with any information regarding partners relevant to the work of ARISA
- Track daily expenses and prepare weekly, monthly or quarterly reports as necessary for COP and selected consultants.
- Support with completion of COP schedule and selected consultants and chase any delays in submission.
- Take a minute, when required.
- Preparing meeting rooms, meeting packages and catering for meetings to be held by the Conference of the Parties.
- Assisting with advisory board tasks (sending invitations on behalf of ARISA, scheduling meetings, arranging food, setting up boardrooms etc.)
- Arrange setup for new employees, team building events, welcome events for new employees and farewells.
- When required, we welcome staff to visit and assist with meetings, parking and catering needs.

Qualifications and Experience:
- Bachelor’s degree, Postgraduate Diploma or Professional Degree in Management/Management/Logistics or equivalent.
- A minimum of 3-5 years of experience in a relevant field is required for this position.
- Demonstrated interest and knowledge of Sub-Saharan Africa; Strong interpersonal skills; Excellent organizational and communication skills.
- Experience in performing essential administrative tasks in an office environment; Ability to work collaboratively with multiple teams including Programs and Finance. Experience working with advisory boards is an advantage.
- Proficiency in MS Office suite. Specifically Excel, Word and Outlook;
- Knowledge of international human rights, democracy and rule of law issues is highly required.
- Oral and written English proficiency is required. Additional fluency in Portuguese is an advantage.
- Headquartered in Johannesburg, South Africa, with potential regional travel required;
- Ability to maintain the highest degree of confidentiality regarding all aspects of the business at all times.
